Cancellation Policy:
Cancellation fees:
All cancellations will incur a penalty. If you cancel within 30 days of the trip departure, you are financially responsible for the full cost of the trip. If there is a waiting list, we will replace you with a member from the waiting list; however, fees and penalties will apply.
You will be responsible for any increase in expenses to the club if your actions result in the club having to pay for a single supplement. Remember, the cost of a trip is predicated on double occupancy. Also, a fee is charged by the airlines for changing your name on an airline ticket. That charge is your cost. The minimum cancellation fee is 10%; the club will charge a higher cancellation fee based on penalties incurred from the tour operator or resort and any other expenses resulting from your cancellation.
Cancellation forms can be obtained from your Trip Leader. The cancellation form must be completed and returned to the Trip Leader within 30 days of the trip returning. If there is a medical reason for your cancellation, please provide a doctor’s note.
Selling your airline tickets:
You will be responsible for any fees, i.e., delivery and airline, related to getting your ticket changed to someone else. Unfortunately, this could mean that you will be responsible for the full cost of the trip if you don’t inform the trip leader of your cancellation early enough.
International Trips:
Contracts are entered into based on the exchange rate at the time the contract is signed. If the exchange rate changes prior to trip departure, the cost of the trip could change. Side trips should be booked through the tour operator, not the trip leader. The club is not responsible for side trips.
Double occupancy and trip minimums:
The cost of a trip is based on two people per room and a minimum number of people going on the trip. If we don’t achieve the minimum number of people, we have two choices. We can either cancel the trip and possibly incur a penalty for the club or increase the cost to the members to reflect the number of people going below the minimum number agreed to in our contract. Members who have signed up for a trip that does not meet the minimum will be given the option prior to cancellation of the trip. The Board will act in the best interests of the club and its members in determining what action to take with a partially filled trip.
Payments:
Increasingly, more people are late in making their payments. This is an inconvenience to the trip leader and the club. Contracts have a fixed payment schedule. We always arrange the deposits around that payment schedule. If our payments are not timely the tour operator could assess penalties.
Tickets:
Please review your name in the database to ensure that it matches the name on your Driver’s License or Passport to ensure your airline ticket is issued using the correct name.
No tickets will be issued in advance of your final payment.
